With the enforcement of the privacy policy, the Foundation for the Welfare and Education of the Asian People (Refugee Assistance Headquarters [RHQ]), recognizing the importance of the protection of personal information, will endeavor to protect personal information.

*Acquisition of personal information
The RHQ, when acquiring personal information, will clearly demonstrate the purpose of use and will only acquire information in a legal as well as adequate way.

*Use of personal information
The personal information acquired or held by the RHQ will be used only for the following purposes in order to promote various work commissioned by the Japanese government such as assistance for the resettlement of refugees, protection measures for asylum seekers, provision of counseling and information related to refugees, fact-finding surveys on the circumstances of overseas refugees and a variety of educational and public relations activities, as well as for the publicity of the government commissioned work:

1. Communications with refugees, asylum seekers, supporters and concerned organizations;
2. Provision of information to refugees, asylum seekers and concerned organizations;
3. Sending out of various activity reports and public relation materials;
4. Invitations to various seminars, workshops and information exchange meetings;
5. Other uses, when the need arises for communications relating to the promotion of the RHQ’s activities.

*Provision of personal information to third parties
The RHQ will not provide personal information to third parties without the consent of the person concerned except when it is pursuant to relevant laws or ordinances or when it is necessary to provide such information to government agencies which commissioned work. In addition, when it becomes necessary to provide information to a certain person or organization to whom the RHQ entrusts its work, we will make a confidentiality agreement with such person or organization.

*Management and protection of personal information
The RHQ has adopted internal rules concerning personal information, and in managing such information, will maintain the accuracy of managed personal information data, and take necessary measures for the prevention of loss, destruction, falsification and leaking of personal information.

*Disclosure, correction, etc., of personal information
The RHQ will respond appropriately to requests by the person concerned for the disclosure, correction, suspension of use, etc. of the managed personal information.

*Policy on the thorough observance of privacy
Based on the privacy policy and related internal rules, the RHQ will ensure that all staff are familiar with appropriate management methods and treat personal information in an adequate way.
